Who is responsible for your information?
Dream Catcher is operated by Tommy Graves as a sole trader. Tommy decides how and why your personal information is used. Contact: tommy@tgsleeptalking.com
What information do we collect?
- Contact and booking details, such as your name, email address, telephone number and appointment information.
- Information you choose to provide about sleep, routines, energy, stress, wellbeing, health, medication, lifestyle and matters relevant to your coaching. Some of this is health information and special category data under data protection law.
- Questionnaire responses, coaching notes, agreed actions, progress information and your personalised Sleep Dive Plan or other coaching deliverables.
- Payment, invoice, correspondence, consent and service-administration records.
- Feedback, testimonials or case-study information only if you choose to provide it and separately agree to the specific use.
Why do we use your information?
- To understand your needs and deliver the coaching service you book, including preparing for sessions, developing recommendations, creating your personalised plan and reviewing progress.
- To manage bookings, communicate with you, collect payment and maintain business records.
- To respond to enquiries and complaints, address safety concerns, meet legal obligations and establish or defend legal claims where necessary.
- To publish a testimonial or case study only where you have separately agreed to the specific material and intended use.
Our lawful bases and health information
We use different lawful bases for different purposes. For ordinary personal information objectively necessary to arrange and deliver the coaching service you request, we rely on performance of a contract under Article 6(1)(b) UK GDPR. We use Article 6(1)(c), legal obligation, for records we must keep to meet applicable legal or tax requirements. For distinct routine administration or handling and defending claims, we may rely on Article 6(1)(f), legitimate interests, where appropriate and after considering your rights and interests.
Health information is special category data. It requires both an Article 6 lawful basis and a separate Article 9 condition. For relevant health information objectively necessary to assess your needs and deliver the coaching you request, our intended basis is Article 6(1)(b) where processing is objectively necessary for the contract, together with your explicit consent under Article 9(2)(a) for the health information described in the separate consent statement. We will not treat consent as blanket permission for unrelated processing.
You can withdraw explicit consent by contacting Tommy. Withdrawal does not make earlier processing unlawful. Some information may need to be retained where another lawful basis and condition apply, for example to meet a legal obligation or deal with a legal claim. The health information needed can vary by service and by the individual circumstances. You may decline to answer particular questions. We will explain the practical implications and assess whether the service can be adapted or delivered safely and lawfully with less information. If particular information is genuinely necessary for the service and there is no reasonable safe and lawful alternative, the affected service may need to be paused or may not be able to proceed. We will not pressure you to consent or promise to deliver a service that cannot reasonably be provided without the relevant information.
Where is information stored and who processes it?
Dream Catcher uses Google Workspace for business email, Google Forms, Google Docs and Google Drive. Forms are intended for intake and consent records; Docs for manually preparing your plan; Drive for restricted storage and sharing; and business email for communication and delivery of a restricted link. Google's published Workspace terms and Data Processing Amendment govern the services to the extent applicable to the account and services used. Google may process information outside the UK under applicable contractual terms and transfer safeguards. Dream Catcher does not claim that all information is stored exclusively in the UK.
How long do we keep information?
We keep personal information only for as long as needed for its purpose. Our normal review point for questionnaire responses, coaching notes, progress records and the final plan is one year after the coaching relationship ends. This is a review point, not an automatic deletion date: we delete sooner if information is no longer needed and retain it longer only for a documented reason. Contract, booking and consent evidence may be kept for up to six years after the relationship ends where justified, retaining the minimum evidence necessary rather than detailed health records by default. Non-client enquiries are normally deleted after 12 months without meaningful contact unless there is a documented reason to retain them. Financial and tax records are kept for the applicable statutory period. Temporary exports, duplicate PDFs and drafts are deleted once the final document is checked, saved and delivered, unless a particular copy remains necessary.
How do we protect information?
We use appropriate technical and organisational measures, including account security and restricted file access. Routine access to client information is limited to Tommy. Files containing client information are not intended to be shared publicly; a final plan is shared with the named client only. No method of storage or transmission is completely risk-free.
Your rights and complaints
Depending on the circumstances, you may have rights to access your information, correct it, request erasure or restriction, object to certain processing, request data portability, and withdraw consent where processing relies on consent. These rights are subject to legal conditions and exceptions. Contact tommy@tgsleeptalking.com to make a request. You can also complain to the Information Commissioner's Office at https://ico.org.uk/.
Who can use Dream Catcher?
Dream Catcher coaching services are for people aged 18 and over.

We may update this notice if our services, providers or legal requirements change. The current version will be made available before we collect information.
